Even
in the clinical, clutter free, 'e-world' of today, customers still
rely heavily on printed material to inform and persuade. Containing
subject matter that can range from technical specification to
corporate ideals - and all stops in between - the sheer volume
of literature available from some companies can make stock control
and physical distribution quite an exercise. Or is it not so much
an exercise, but more of a missed opportunity?
Who are they; from which company; how often have they requested
information before; about what; how much is it costing you; is
your database being constantly updated; how are you following
up
and so on. When a request for material about your products
and services is received, someone is demonstrating a strong interest.
The Creative Department has recently launched a sophisticated
new online system, dedicated to managing and tracking enquiries,
recording dispatch information and monitoring stock levels. Called
EMALFO (Enquiry Management and Literature Fulfillment Online),
the system is efficient, easy to use and simple to maintain.
It
encourages interactive use by the sales team too. Information
can be imported and exported remotely and 'hot leads' can be flagged
up for immediate attention.
- A
brief overview of the main benefits offered by the system are:
- Search
facility - Locate contacts by name; company and postcode
- Electronic
delivery - Instant distribution of literature in PDF format
by fax or by email.
- Stock
monitoring - At any one time the user can assess current stock
levels in terms of number of items and average number being
used on a monthly basis. This allows the user to calculate stock
projections.
- Order
details - What was requested; by whom; when; date of material
dispatch; weight and cost of postage.
- Reports
- Provides information on criteria such as source of enquiry;
details of enquirers by company, name, title; material stock
/ off take levels; postage cost history. Additional reports
can be generated to suit your particular information requirements.
- Administration
- Stock movement; automatic re-ordering; database maintenance.
- Access
- Accessed remotely, or on site, by any authorised password
holder
